You will require a user with setup wizard access and licensing for credit/debit processing in System Five to make changes to these options. They are located in the “Payment Processing” section of the Setup Wizard.
Credit Cards
Use Credit / Debit Cards
- This setting must be enabled to turn on payment processing using Datacap NetePay or Vantiv\Worldpay\Mercury Payments.
- The merchant must complete the PCI Setup Wizard when this option is enabled.
Use AVS (Address Verification Service)
- This option will send address and zip code information to Datacap NetePay if you attach a customer to the invoice. A response will be shown after the transaction. The transaction does not decline if the address or zip does not match, this is the clerk's responsibility to void the transaction if they feel the transaction is fraudulent based on the level of match, the order, and the knowledge of the customer.
- AVS is not available with all processors.
Use card read on PINPAD
- This option forces the use of the PINpad card reader and will not allow the user to use a secondary card swipe.
Allow collecting of cardholder information for later Authorization
- This option is not available unless you have completed the PCI Security Wizard and selected to store cardholder information for more than 35 days.
- Cardholder information is only the PAN (card number) and Expiry date and is fully PCI compliantly encrypted.
- Track II or CVV/CVV2 information is NOT stored. Transactions processed using the PAN and Expiry date are processed as “Card not present” transactions which means the merchant is usually charged a higher processing rate and accepts a higher level of liability.
- This option is not available to Canadian EMV processors Moneris or Paymentech and is only available to Vantive\Worldpay\Mercury Payments Canada if they have a legacy credit card account.
- Datacap dsiPDCX PINpads (Equinox 5300, Vx810) can not be used for collecting card information. You will either have to type in the number or use a separate card number.
Allow use of Pre-authorization on Invoices.
- This use of pre-authorizations is a highly advanced operation designed for restaurants and its use is not recommended for most System Five users who are often trying to use pre-auths for rental deposits.
- A pre-auth expires after 2 - 7 days depending on the card issuer and card brand.
- There is no method to determine if a pre-auth has expired. Any transaction captured using an expired auth code will process, but may not settle.
- With Datacap NetePay there is no method to reverse or void a pre-auth.
Allow use of Authonly on Invoices.
- This option tests that the card has a high enough card limit and that the card is valid.
- The auth-only does not reserve funds nor checks to see if there is enough credit available.
- This option is not available with most processors.
Allow collecting of cardholder information for later Authorization
- This option must be used with the Allow collecting of credit card information for later authorization above. This option allows the card to be stored against a customer verses against an invoice.
- This option is not available to Canadian EMV processors Moneris or Paymentech and is only available to Mercury Payments Canada if they have a legacy credit card account.
- Datacap dsiPDCX PINpads (Equinox 5300, Vx810) can not be used for collecting card information. You will either have to type in the number or use a separate card number.
Estimate taxes if zero for Purchase Card Level 2
- This option should be used if customers are making payments against their account or against a series of invoices instead of against a particular invoice. The tax amount is unknown if a customer is making a partial payment or paying several invoices.
- This option may not work well with merchants who sell to tax-exempt customers such as governments using purchase cards.
Void by Reference Number
- This option is not currently functional.
Allow Card not present transactions on screen
- This option allows a merchant who is using Datacap dsiPDCX, or Mercury Payments Canada (EMV) to allow process credit cards using the card on file function or by typing the card number in on the screen.
- This option will not allow the merchant to collect the card information by swiping the card on the Pinpad. The card number and expiry date will need to be typed in or swiped using a secondary MSR.
Mask Card Number on Screen
- This option will mask the card number on the screen for all users.
- This option is recommended for locations where other customers could see or record the screen.
Merchant Number
- This is the merchant number.
- Mercury customers will have a merchant number such as 123456=storename
- This merchant number must match that of the Datacap NetePay license for non-Vantiv\Worldpay\Mercury installations.
- If you are using departments, the department merchant number can be set in the department setup.
- You can also set the merchant number for a particular terminal in the Credit Card Transaction Types. You can use this method if you are not using departments but need to process some transactions using a different merchant number.
Process as Credit or Debit
- This option determines how to process a credit or debit using PIN or Signature verification. Sometimes both types of credit and debit transactions can be processed either way.
- Debit transactions processed using PIN are charged a per-transaction fee instead of a percentage.
- This option is not applicable to Canadian transactions as there is no choice in how a card is processed.
- Do not prompt - This option will process the transaction based on whether the clerk selected credit or debit
- Prompt for Credit / Debit. - This option will prompt the clerk, and the customer if using a compatible PIN pad whether to process as Credit or Debit.
- Card Lookup, select Debit if available. - This option will look up the card number on a compatible processor and determine how the card can be processed. If the PIN is an option, it will use the PIN.
- Card Lookup, prompt. - This option will look up the card number on a compatible processor and determine how the card can be processed. If there is more than one option, the clerk and customer are using a compatible PINpad will be prompted to select Credit or Debit. Typically for old legacy PINpads like the Verifone 1000.
Visa/MC Gift card partial authorizations
- This option determines how Visa and MasterCard Gift cards are processed.
- A partial authorization is when a gift card has a balance of $50, however, the invoice total is for $55. The clerk then tries to process $55. Instead of declining the transaction as would happen with a credit or debit card, the processor instead processes the transaction for the remaining balance of $50.
- In this case, the customer still has a balance owing of $5, and System Five will prompt the clerk that a partial approval occurred. The clerk has 2 options
- Void the transaction - If the customer has no other means to pay for the remaining balance.
- Accept the transaction - if the customer has another gift card or other tender type, or if the customer wants to remove some items from the invoice.
- When voiding a normal credit card the funds are not normally released on the card until the following day, however, this is not normally acceptable for Gift Cards so the system will attempt a “Real-Time” void which should make the funds immediately available on the gift card. It is important that the “Real-Time” void is performed immediately before closing the payment screen.
- This option is not supported by all processors and is mandated by others.
- In some cases, you do not want to allow gift card partial authorizations such as reoccurring charges or rentals.
- Always allow - This is the default option and will always allow a partial authorization.
- Allow only at POS. - This option allows partial authorizations at the point of sale, but not for reoccurring charges or rentals.
- Do not allow. - This option will not allow partial authorizations. This option may not work for some processors and you will get an error message when trying to process any credit card.
- Sometimes a partial authorization will occur on credit and debit cards depending on the processor. This should not happen, however, we have seen a few occurrences.
