Enhancement Overview
This enhancement introduces the ability to apply a surcharge to credit payments automatically within System Five. Users can configure surcharges as either a fixed amount or a percentage, with optional minimum and maximum limits to suit their business needs. The enhancement supports customer-present transactions using Netepay Hosted, ensuring that surcharges are accurately applied during the payment process based on the card type. This feature (surcharge or payment fee) is currently a BETA feature and must be enabled in the Setup Registry (Menu/Navigator > Setup Tools > Configuration > Setup Registry > FEATUREFLAG > PAYMENTFEES > Edit Key: Y). In addition, the enhancement allows for handling tips and cash discounts in a similar manner, making it a comprehensive improvement for payment processing. The system also includes an updated touch screen layout, ensuring the display of payment fee details during credit and debit card transactions for clarity and transparency.

Problem:
Many businesses face challenges in managing credit payment surcharges efficiently. Currently, surcharges must be manually calculated and added, which introduces errors and inefficiencies. Some businesses have requested automated solutions, citing the need for features like a 2% credit charge for credit card transactions. Furthermore, there is no integrated support for handling tips or cash discounts, which are often requested features. Without this enhancement, businesses lack the flexibility to streamline these processes, potentially leading to inconsistent invoicing and missed revenue opportunities.
Solution (Workflow):
The new feature integrates seamlessly into System Five’s payment workflow. Users can define payment fees for credit and debit payments as either a fixed amount or a percentage, with optional minimum and maximum thresholds. A special part named PAYMENTFEE is created in the system as a non-inventory item to track these fees, with tax configurations applied as needed. During customer-present transactions, the Pinpad confirms the surcharge based on the card type, automatically determining whether the card is credit or debit and applying the appropriate fee. After confirming the payment, the surcharge is added directly to the invoice. If a credit card is swiped, the system applies the credit surcharge; if a debit card is swiped, users can apply payment fees instead, provided the clerk tenders the correct card type. This workflow can also manage tips and cash discounts, providing businesses with additional flexibility. However, surcharges and payment fees apply only to customer-present transactions through the Pinpad, and they do not extend to payments on account, recurring payments, or card-on-file transactions.
Assumptions:
The following assumptions were considered in implementing and testing this enhancement. Businesses are expected to have clear policies regarding credit surcharges and payment fees, including compliance with local regulations. Users should be familiar with configuring non-inventory items and tax settings in System Five. The Pinpad must be correctly set up and integrated with System Five to determine card types accurately during transactions. The “Force Card Type” option is used as needed to ensure the clerk tenders the correct card type for accurate fee calculation. Businesses are also assumed to understand potential rounding issues that might occur due to tax-inclusive fees and have processes in place to address minor discrepancies. Lastly, users have assessed the cost-effectiveness of adding payment fees versus cash handling expenses to ensure the solution aligns with their operational needs.
