Enhancement Overview

Currently, System Five’s Health Billing Authorization Process requires users to add authorizations individually for each invoice line item. This method is particularly cumbersome for invoices with multiple line items; for example, an invoice with 10 line items necessitates 10 separate authorization entries. This repetitive process not only consumes valuable time but also increases the likelihood of errors, detracting from overall efficiency in billing operations.

To address these challenges, the proposed enhancement will allow users to complete authorizations for multiple invoice lines simultaneously. By enabling batch processing of authorizations, this new approach significantly reduces the time and effort required to manage longer invoices. As a result, users can streamline their workflow, improve accuracy, and focus on higher-priority tasks, ultimately enhancing the productivity of the health billing process. This enhancement aligns with our commitment to optimizing user experience and operational efficiency within System Five.

Problem:


The Health Billing Authorization Process in System Five currently requires users to input authorizations for each invoice line separately. This results in a cumbersome workflow, especially when dealing with invoices that contain numerous line items. There is a pressing need for a more efficient solution that allows users to authorize multiple lines simultaneously, thereby streamlining the process and enhancing overall productivity for longer invoices. 


Solution (Workflow):  


The new solution introduces a Feature Flag in the System Registry that allows users to enable multiauthorizations for invoice lines, enhancing the Health Billing Authorization Process. When this feature is activated, users can click the "Multi-Auth" button located at the bottom right corner of the invoice screen to open a dialog for entering authorization details, including payee, authorized by, and authorization code. After entering the required information, users will click the "Add" button, leading them to the Line Selection tab, where they can select invoice items eligible for health authorization. To qualify, the lines must not already be authorized by another health billing plan and must belong to the health billing category. Additionally, users have the option to check a box to automatically select all compatible lines for authorization. Importantly, this multi-authorization feature does not interfere with the existing process, allowing users to still add authorizations one line at a time using the traditional "Add Auth" button. 


Assumptions: 


The customer should have a Health Billing Module in their System Five Licensing. The user is expected to have a foundational understanding of the Health Billing functionalities and processes. It is assumed that users are familiar with the current Health Billing Authorization Process and will be able to navigate the new “Multi-Auth” feature without extensive training. The customer’s System Five version should be updated to 7.0.0.1 or newer to be able to see and modify the new Feature Flag in the System Registry. The introduction of the multi-authorization feature should not disrupt the current workflow for users who prefer to authorize invoice lines individually.


Enhancement Visuals


  1. Requires user to enable Feature Flag 7
  2. After adding the inventory items wanted onto a Health Billing invoice, the user can click the "Multi-Auth" button at the bottom right hand corner of the screen to create and apply authorization to ALL applicable items.
  3. Enter in the regular information needed for authorization. (payee, authorized by, Auth code). 

    When you click the "ADD" Button, it will take you to the secondary Line Selection screen.


  4. This "Line Selection" tab, will allow the user to select which lines they want to apply the Health Billing authorization for. However, to be able to select the lines, they need to fit the following criteria: 

    -    NOT already authorized by another health billing plan 

    -    Line is selling a PART that falls under the Health Billing Category. 


  5. You can see there is a "Default to selecting all compatible lines for health billing authorization" at the bottom right-hand corner. 

    -    The customer can check this box if they want to DEFAULT having all applicable lines checked to apply health billing to. 


  6. Multi-auth DOES NOT affect the usual authorization if the customer wants to do them by line, one at a time. 

    -    They can still click on the invoice line, "Add auth" cell or right click, add health billing authorization.
